Feb. 2016
1) Migrate your Data and Archive files containing the actual e-mails by: Open Windows Explorer and navigate to C:\Users\User Name\AppData\Microsoft\Outlook\ and copy all files to an external drive or new hard drive.
You can also export and import your data file directly from inside Outlook. Location varies based on version, but usually starts under File, Import/Export.
Be sure to tell your new Outlook where the email .pst data file is by going to Tools, Account Settings, Data Files, Add. You can add or remove any folder to the favorites at the top left of Outook.
2) Migrate your E-Mail account settings by: Run regedit.exe as an Administrator and navigate to Computer > HKEY_LOCAL_MACHINE > Software > Microsoft > WindowsNT > Current Version > Windows Messaging Subsystem > Profiles >Outlook.
Now highlight Outlook and from the menu select Export, give the file a name and save it to your external drive or new drive. Run this reg file on the new computer and your email account setting will be placed into the registry.
3) If you don't know the passwords to the E-Mail accounts, use the freeware program Asterisk Key by Passware, it allows you to see the passwords in Outlook Accounts hidden by asterisks. You must open each account then run the software to see the hidden password.
4) Almost everyone makes some kind of change to the layout of Outlook, and those customizations are saved in:
C:\Users\User Name\AppData\Roaming\Microsoft\Outlook.
Signatures for 32 bit Outook running on 64bit Windows, the path is: C:\Program Files (x86)\Common Files\microsoft shared\Stationery
Signatures for 64 bit Outlook the path is: C:\Users\User Name\AppData\Roaming\Microsoft\Signatures
Stationary, the path is: C:\Users\User Name\AppData\Roaming\Microsoft\Stationery
Forms path is: C:\Users\User Name\AppData\Local\Microsoft\FORMS
Dictionary path is: C:\Users\User Name\AppData\Roaming\Microsoft\UProof
Templates path is: C:\Users\User Name\AppData\Roaming\Microsoft\Templates
5) Next step is to register your new profile in Outlook: Go to Control Panel, Mail, Profiles, Show Profiles, Select Always use this profile, and OK. Now Outlook knows which profile to use.
6) To adjust row and column font for Inbox and other Mailboxes, go to: View > Current View > Customize Columns > Other Settings.
7) To change email message font go to: Tools > Options > Mail Format.
8) To compact your pst file after deleting emails, go to: Files, Accounts, Data, select the data file you want to compact, then click Settings, Compact.
Here is a website that shows how to: save all email addresses from an Outlook folder into a spreadsheet, how to save all attachments in Outlook to your computer and how to search for folder names inside Outlook.
